LOCATION: This is an onsite job placement at Harriett’s Orlando Ballet Centre, 600 N. Lake Formosa Drive, Orlando, FL 32803

STATUS: Full-time, exempt from over-time

COMPENSATION: $42,000-45,000

START DATE: September 2025

BENEFITS: All standard in coordination with employee handbook

 

Basic Purpose and Objective of the Role:

The Philanthropy Coordinator is an entry-level position designed for an energetic, detail-oriented individual who is passionate about philanthropy, dance, and the performing arts. This role supports the day-to-day operations of the Philanthropy department, assisting the Individual Giving Officer and Major Gifts Officer with donor engagement, data management, and event coordination. Reporting to the Individual Giving Manager, the Coordinator plays a vital role in helping Orlando Ballet achieve its mission to entertain, educate, and enrich through the highest quality of dance.


Responsibilities include, but are not limited to:

  • Maintain and update donor records in Tessitura, ensuring data accuracy and integrity.
  • Assist in preparing donor acknowledgment letters, stewardship materials, and benefit fulfillment.
  • Develop targeted invitation lists for cultivation and benefit events using Tessitura, ensuring alignment with donor engagement strategies and philanthropy team objectives.
  • Support the planning and logistics of donor cultivation and recognition events.
  • Help manage the Philanthropy department calendar and coordinate with Marketing on communications.
  • Support the philanthropy team in preparing for upcoming performances and events by assisting in the creation of Surprise and Delight bags and RSVP reports to ensure seamless coordination.
  • Generate and analyze fundraising and giving reports using Tessitura to inform strategic decisions and enhance donor engagement efforts.
  • Conduct prospect research and wealth screening using tools such as iWave.
  • Track and report on gift officer portfolio activity in alignment with moves management practices.
  • Provide administrative support for the United Arts Collaborative Campaign and other initiatives.
  • Attend performances and events to support donor engagement and cultivation.
  • Manage the Orlando Ballet volunteer program by coordinating volunteer outreach, gathering staffing needs from team members, and recruiting new volunteers to support organizational initiatives.
  • Support the Orlando Ballet Ambassador and Amigos programs by coordinating events and cultivating new members with staff and committee collaboration.
  • Collaborate with the Philanthropy Fellow and other team members to ensure seamless operations.
  • Assist in refining and documenting standard operating procedures.
  • Other duties as assigned.

Required Qualifications

  • Bachelor’s degree in nonprofit management, arts administration, communications, or related field.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite; experience with Tessitura, Prospect II, and Basecamp preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Energetic, enthusiastic, and passionate about philanthropy, dance, and the performing arts.
  • Evening and weekend work is required to support performances, donor events, and cultivation activities.
  • Prior experience in nonprofit fundraising or arts administration is helpful but not required.
