Position Overview

The Philanthropy Assistant plays a vital, cross-functional role in the foundation’s comprehensive philanthropy and grantmaking programs, providing administrative support to advance the foundation’s mission. Working closely with the philanthropy directors and other staff, the ideal candidate is organized, tech-savvy, detail-oriented and committed to excellent service to colleagues, donors, nonprofit partners, volunteers, and other stakeholders.


Responsibilities

Program Assistance

  • Assists with all aspects of the grantmaking program, including grant and scholarship cycles, application review and tracking, and internal and external communications.
  • Assists with grant and scholarship review team logistics, including scheduling, compiling materials, and staffing meetings.
  • Communicates with applicants and grantees regarding guidelines, status updates, and reporting requirements.
  • Maintains electronic records, tracks and reports on award activity, and assists in preparing impact reports and materials related to grantmaking program.
  • Monitors compliance with program guidelines and reporting requirements, following up as needed.
  • Provides support and guidance to applicants, including navigating the application portal and understanding application criteria.

Philanthropy and Cross-Function Support

  • Assist with the day-to-day operational needs of the foundation, including answering the phone, scheduling internal and external meetings, preparing materials, and supporting special activities in a dynamic office environment.
  • Support the administration of donor-advised funds, including processing grant recommendations and providing donor support as needed.
  • Help with event coordination, including RSVPs and logistics as needed.
  • Participate in team meetings, activities, and special projects as assigned.


Requirements

  • Strong attention to detail and organizational skills.
  • Excellent oral and written communication skills.
  • Proficiency in Microsoft Office Suite and email and internet use; experience with database systems a plus.
  • Integrity, discretion, and the ability to handle confidential and sensitive information.
  • Flexible and adaptable, with a collaborative spirit and commitment to the foundation’s values, vision, and mission.


Education and Experience

  • Associate or bachelor’s degree preferred, or equivalent combination of education and experience.
  • One to two years of administrative, nonprofit, or customer service experience preferred.
