Operations Manager

The Bach Festival Society of Winter Park is seeking a proactive and innovative Operations Manager to oversee a range of functions. This role involves supervising a diverse team to manage Box Office operations, ensuring smooth production of concerts and special events, and maintaining an efficient and organized working environment to support the organization’s mission.


Hours: 25 hours per week, in person, with a flexible schedule within the hours of Monday-Friday 8:30am-5:00pm. Some evening and weekend work is required during concert season.


Compensation: $20 per hour

 

Reports To: Executive Director


About the Bach Festival Society: The Bach Festival Society of Winter Park is a highly acclaimed 90-year-old non-profit performing arts organization located in Winter Park, FL. We produce great classical music, featuring powerful choral and orchestral performances, as we celebrate the legacy of Johann Sebastian Bach and those influenced by him. Our annual operating budget is about $2 million, and the staff comprises six full-time and four part-time employees.

 

Core Responsibilities:

- Recruit, train, schedule, and oversee Administrative Coordinator, Box Office Coordinators, interns, student employees, volunteers, and concert shuttle drivers

- Oversee Box Office functions for concerts in Knowles Chapel and Tiedtke Hall at Rollins College and work with the Dr. Phillips Center for the Performing Arts for concerts held in Steinmetz Hall

- Manage front-of-house operations for performances throughout the season, delegating tasks to proper team members, including:

- Pre-concert planning and communications

- Schedule and supervise venue setup times

- Collaborate with Usher Leads to ensure a smooth front-of-house operation

- On-site operations management at performances and events

- Collaborate with the marketing team on Box Office communications

- Implement emergency procedures, ensuring safety regulations compliance across all areas of operations

- Collaborate with staff team to produce quarterly business analytics and metrics reports to the Executive Director, ensuring data is tracked monthly by each department

- Manage various organization-wide projects with the support of staff members as appropriate. Projects include but are not limited to:

- Ensure proper data hygiene in the Customer Relationship Management (CRM), including documenting procedures for data entry

- Organize and maintain the SharePoint online drive

- Document and update administrative processes across the organization

- Scan, file, and/or dispose of historical hard copy records

- Coordinate the interviewing and hiring process for new employees

- Oversee the onboarding, training, and offboarding processes for employees

- Maintain personnel files, track PTO usage, and coordinate annual reviews and related processes with the Executive Director

- Other duties as assigned, collaborating with various departments as necessary

 

Preferred Qualifications and Experience:

- Bachelor’s degree or equivalent experience

- Management and training experience, including the ability to take initiative, delegate, and effectively execute projects to achieve successful outcomes

- Proficiency in Microsoft Office Suite and PatronManager or other Customer Relationship Management (CRM) software

- Box office experience

Physical/Environmental Demands:

- Ability to bend, lift, and move objects no more than 50 lbs.

- Ability to walk between various locations, no more than one mile at a time

- Required to sit and stand for long periods of time

- Required to talk and hear

- Noise level in the environment is moderate
