POSITION SUMMARY

As an integral member of the Development team, the Donor Relations Coordinator will help cultivate, steward, and expand the relationships between the organization and its donors by providing extraordinary service and appropriately maintaining and managing donor information. The Coordinator will also assist with events, manage meetings and special communications to grow the current donor and volunteer base. The Donor Relations Coordinator will work closely with all members of the Development Team and reports to the Development Manager.


WHAT YOU’LL BE DOING

•Maintain and update the donor database.

•Coordinate reporting from the donor database; providing timely and accurate reporting and quarterly audits.

•Perform Database entries to reflect development activities.

•Be proficient in generating reports and managing Excel lists related to donor data.

•Create acknowledgments and receipts for donors in accordance with Company policy.

•Respond to donor inquiries in a prompt and courteous manner.

•Maintain donor confidentiality and ensures compliance with related policies.

•Make weekly phone calls to donors for relationship management, event invitations, confirmations, and follow-ups.

•Look for in-kind donations and establish connections for potential support opportunities.

•Provide support for organizational events including promotion, registration, and logistics.

•Assist with event management tasks such as creating guest lists, using Excel for tracking RSVPs, managing event budgets, and preparing materials.

•Assist in creating and distributing both print and digital donor appeals, newsletters, and outreach materials.

•Support the development and execution of marketing and social media strategies aimed at increasing donor engagement and visibility.

•Coordinate Board of Director communications and activities including meetings, retreats, holiday functions, etc.

•Maintain Board membership lists, taking and archiving board minutes, creating and distributing board meeting agenda packets, as directed, and assisting individual board members as needed.

•Coordinate special projects and fundraising activities as assigned. Assists with all other ad-hoc department projects as needed.

•Utilize Excel and other tools to manage event logistics, track donor engagement, and ensure organized reporting.

•Continuously seek opportunities to improve donor engagement and enhance the donor experience.

•Represent the organization at tabling events by engaging attendees, distributing materials, and building community awareness and donor relationships.

•Support the Development Team in managing the journey from volunteers to donors.

•Schedule and conduct tours for potential donors, partners, and community groups.

•Represent the organization at networking events to build relationships and increase visibility.


ESSENTIALS THAT WILL MAKE YOU SUCCESSFUL

•Prior experience in the nonprofit field and fundraising experience preferred.

•Proficient in or ability to learn and use donor and event management software (including Netsuite, Qgiv, Canva, Double the Donation).

•Ability to gather, analyze and summarize information including numerical and financial data.

•Must be detail-oriented and have the ability to prioritize and complete projects with discretion and good judgment.

•Experience planning, coordinating and leading events and projects.

•Ability to oversee volunteers.

•Ability to work occasional evenings and weekends to support fundraising events is required. EDUCATION AND WORK EXPERIENCE 


REQUIREMENTS

  • Bachelor’s degree Nonprofit Management, Marketing, Communications or related field preferred. PHYSICAL WORK REQUIREMENTS

Must be able to sit for long periods of time and move frequently throughout the day. Will be exposed to members of the general public on a regular basis. Frequent travel for events may be required. May be require to lift up to 25 pounds from time to time.
