Crealdé School of Art Development Coordinator
Founded in 1975 and located on a tropical campus in Winter Park, Crealdé School of Art is one of Florida’s highest-rated cultural organizations. Its visual art programs serve over 50,000 residents and visitors annually through classes, workshops, and exhibitions at the main campus, the Hannibal Square Heritage Center, Winter Garden, and various community outreach and exhibition sites.
The Development Coordinator manages all aspects of donor relations, oversees annual fundraising efforts (including the United Arts Collaborative Campaign), and is responsible for accurate, timely gift entry and ongoing donor database maintenance—including acknowledgments, pledge tracking, and reporting. This role also supports and coordinates fundraising events, ensuring seamless execution and alignment with sponsorship goals. Working closely with the Marketing Coordinator and Executive Director, the Development Coordinator drives strategic fundraising initiatives and reports directly to the Executive Director.
Qualifications:
- Bachelor's degree preferred with at least one year of administrative experience (emails, scheduling, calendar management, filing, data entry, mailings, and postage operations).
- Familiarity with ProClass or other database management systems (such as customer relationship management (CRM) software).
- Strong writing and analytical skills.
- Excellent interpersonal and organizational skills.
- Proficiency in Microsoft Office, including Word and Excel.
- Experience completing financial responsibilities (e.g., expense reports, invoice coding, updating budget spreadsheets).
- Availability to work in the office and attend grant-supported events.
- Non-profit, development, grant, and events experience preferred.
Responsibilities:
A. Donor Stewardship:
- Acknowledge all cash and in-kind donations with a personalized thank-you letter within one week of donation.
- Maintain the donor database, ensuring current information and donations are correctly recorded.
- Reconcile donation records with the Accounting Manager’s report monthly.
- Create monthly donation reports and biannual membership reports.
- Engage the Board of Directors in making regular thank-you calls to high level cash donors.
B. Donor, Sponsor & Membership Cultivation:
- Promote donations and memberships at major exhibition openings and special events.
- Collaborate with the Executive Director to identify high-level and potential growth donors.
- Track and log donor information in the database.
- Plan and arrange donor meetings/luncheons with identified donors, the Executive Director, and a Board member.
- Collaborate with the Marketing Coordinator to prepare sponsorship packages and related materials.
C. Fundraising Campaigns:
- Develop, plan, and implement annual fundraising campaigns and events with the Executive Director, including securing testimonials, coordinating mailings and email outreach, and providing reports to staff and the Board
- Schedule promotions of campaigns at events and within classrooms and engage the Board in thank-you calls and letters.
- Plan and implement additional targeted solicitations for specific projects and programs.
- Oversee the annual United Arts Collaborative Campaign, coordinating communication and promotion with the Marketing Coordinator.

Time Commitment and Benefits:
This position is 32 hours per week and offers a pay range of $20–23 per hour, commensurate with experience. Attendance at all events and exhibition openings, team meetings, the Annual Membership Meeting, and occasional Board of Directors meetings is required. Benefits include paid vacation, sick leave, paid holidays, and one free art class per session.
