Bilingual Mission Delivery Associate

From our humble beginnings with one boy’s wish to be a police officer, we have evolved to be one of the world’s leading children’s charities, serving children in every community in the United States and its territories. With the help of generous donors and nearly 400 volunteers, Make-A-Wish Central & Northern Florida granted 425 wishes last year. 


Position Summary

The Mission Delivery Associate is a generalist on the team, with a set of consistent responsibilities in addition to duties that vary depending on need. The ideal candidate for this role is an adaptable, fast learner who appreciates variety. This role is responsible for working directly with wish families and volunteers to grant a personal goal of wishes each year and supports the larger team with various projects as needed. The position reports to the VP of Mission Delivery, with additional oversight from the Director of Wish Granting, Medical & Community Outreach Manager, and Volunteer Manager. The position’s priority is to provide continuous support to the wish granting, medical outreach, and volunteer functions of the team to optimize processes. 


Duties and Responsibilities

- Wish Granting: 

- Steward families through wish process, acting as point of contact throughout wish journey. 

- Build relationships with local wish families within personal pipeline of a minimum of 25-30 wish files, with an annual goal of granting high-quality wishes, understanding that these families are experiencing a difficult season of life and may require a high level of care. 

- Coordinate wish arrangements including transportation, lodging, activities, expense money, etc. 

- Serve as 24-hour emergency contact for wish families traveling on wishes. May include nights/weekends/holidays depending on when wishes are scheduled.  

- Owns process of moving kids through Wish Determined and Pending Approval status including maintaining accurate Wish Determined log. 

- Identify wish kids to participate in wish reveals in partnership with Development team. 

- Obtains and reviews full and complete wish paperwork packets; manages wish inbox. 


Wish Finance:

- Research vendors, products, and services to create accurate and realistic wish budgets. Wish budget is the framework for all spending on a wish and must be approved by senior leadership. 

- Strive to secure at least 30% in-kind donations on every wish, working with local and national companies. 

- Forecast up-to-date spending and financial information on internal database. 

- Work with wish families and volunteers as needed to obtain necessary receipts, invoices, etc. 


Volunteer Support:

- Maintain volunteer sign up opportunities page, ensuring each wish child is assigned to a volunteer in a timely manner to include welcome calls, discovery and celebrations. 

- Secure volunteers and make job assignments for all Ready to Assign kids. 

- Send initial DocuSign documents (Wish Family Form, Liability Form, etc.) 

- Secure Special Event and external volunteers, working with Development and Operations teams on upcoming needs. 

- Send icebreaker gifts, wish boosts and birthday cards to kids in front end statuses if not sent by volunteers. 

- Maintain Facebook page updates  

- Send out bi-weekly Volunteer newsletter with input from Volunteer Manager and Coordinator. 

- Conduct virtual Wish Discovery visits on a routine basis for any wish child not assigned to a volunteer or if assigned volunteer becomes unavailable (include in the Mission Associate Delivery job) 

- Follow-up with all Ready to Interview cases that have been out four weeks or more. 

- Conduct virtual Discovery Visits as needed and/or for RTI waiting 

- Provide additional support to the volunteer team as needed. 


Medical Outreach Support:

- Assist staff in outreach efforts to collect medical documentation as needed. 

- Attend medical engagement and education events, acting as extra support to staff as needed. 

- Assist with stewardship and appreciation efforts for our medical community partners as needed. 

- Generate loss of contact/wish hold letters and communicate regularly with affected wish families. 

- Provide additional support to the Medical Outreach and Referral team as needed.   

- Provide specialized support to program leadership team, generating reports and data regarding pipeline management, conducting pipeline reviews, and departmental trends.  

- Support on Wish Days, volunteer trainings, and other program events and engagements. Represent organization at wishes and special events as requested.  

- Serve as administrative support person in Salesforce platform for program team. 

- Maintain inventory of program/wish items. 

- Other duties as assigned.

- Strong PC skills with proficiency in Microsoft Office, including Word, Outlook, Excel and PowerPoint 


Desired Qualifications

- Bachelor’s Degree in nonprofit administration, communication, business, human resources, psychology or another relevant field 

- At least one year prior nonprofit or project management experience 

 - Ability to speak, read, and write fluently in English and Spanish 

- Experience working with Salesforce 


Working Conditions

This position is in Maitland, FL and requires the individual to work in a hybrid office environment in a shared office space. Incumbent must have the ability and willingness to travel regionally and work some nights/weekends.
