World Youth Clubs (WYC) is seeking an experienced Administrative Assistant to support our team in achieving our mission to develop, advance, and enhance global youth organizations that provide a positive environment and a safe place for young people around the world.  The Administrative Assistant will play a crucial role in ensuring the smooth operation of the WYC office and assisting in various administrative tasks to support WYC programs and initiatives.


Key Responsibilities:

      Administrative Support:

  • Manage the CEO's calendar, schedule appointments, and coordinate meetings, both internal and external.  Make travel arrangements for CEO       and team.
  • Handle incoming communications, including phone calls, emails, and mail, and respond or redirect as appropriate.
  • Prepare correspondence, reports, presentations, and other documents on behalf of the CEO
  • Utilize Monday platform to organize tasks and manage projects

Office Management:

  • Manage office supplies and equipment and manage relative vendors for each
  • Organize and maintain physical and electronic filing systems.
  • Serve as Point of Contact for Building Manager requests and IT support

Database Management:

  • Maintain and update donor database including gift processing and acknowledgments
  • Conduct data entry and reporting in Sharepoint and CRM platforms, ensuring accuracy of records

Meeting and Event Coordination:

  • Prepare meeting agendas, distribute materials, send calendar invitations, and reminders.
  • Attend meetings, take minutes, and save them to SharePoint.
  • Coordinate logistics for virtual and in person meetings and events

     Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred
  • Proven experience as an Administrative Assistant or similar role – min. 3 years preferred
  • Excellent organizational and time management skills with a keen attention to detail
  • Strong written and verbal communication and interpersonal skills
  • Proficiency in Microsoft Office Suite and other relevant software applications including CRM, Zoom, Microsoft Teams, and Monday
  • Proficiency in English is required. Fluency in Spanish and / or French is a plus

Compensation:

WYC offers a comprehensive benefits package, including healthcare coverage, vision, dental, 401k, and a hybrid work environment. This is a full-time, exempt position that works out of the Orlando office. Candidates must reside in the Orlando, FL metro area and have access to reliable transportation. The salary range for this position is $40,000 - $45,000.
