
Events and Engagement Coordinator
Summary
The Events & Engagement Coordinator is responsible for the planning, execution, and oversight of events that align with CECO’s mission and strategic goals. This role involves coordinating event logistics, managing budgets, and ensuring smooth execution to engage donors, volunteers, and community members. The coordinator will collaborate with internal teams and external partners to create impactful experiences that drive awareness, support, and engagement for the CECO’s initiatives. By crafting events that both raise funds and strengthen relationships, the Events & Engagement Coordinator will be a key player in supporting CECO’s mission and objectives.
Primary Responsibilities
The primary focus of this role is to lead and enhance CECO's engagement efforts with stakeholders and the Central Florida community. The Events & Engagement Coordinator will guide the creation and execution of events, ensuring they align with the organization's mission and strategy. This role involves managing and growing existing events and contributing to the development of new events, including CECO’s signature events. Strong written and verbal communication skills, decision-making abilities, problem-solving capabilities, and attention to detail are essential.
Essential Job Functions
- Lead the planning, implementation, and management of all signature CECO events, including the Night of Dreams Gala and Raymond Golf Classic.
- Coordinate and manage CECO’s Young Professional Group to foster engagement and involvement.
- Manage event logistics and helps to identify and collaborate with special events vendors to coordinate event logistics.
- Solicit in-kind donations for silent auctions and events, etc.
- Collaborate with the Director of Development to develop sponsorship packages and manage the solicitation process.
- Organize event committee activities and meetings and actively recruit new committee members.
- Manage staffing and volunteer needs for event preparation, on-site delivery, oversight, and post-event wrap-up and assessment.
- Work collaboratively with Marketing Coordinator to promote events, produce event materials, create event signage, and event communications.
- Develop event budgets and ensure costs remain within approved limits.
- Track event revenue, expenses, and performance, generating regular reports.
- Innovate by brainstorming new features and ideas to enhance the value of events.
- Organize other small events throughout the year.
- Engage parents, families and staff in CECO events and represent CECO at various community outreach events.
Skills & Qualifications
- Bachelor’s Degree preferred
- Creative mindset with the ability to think strategically and innovatively.
- Strong organizational skills and the ability to multitask, prioritize and take initiative.
- Works well independently and as a team player.
- Ability to perform well under pressure, especially in high-stakes event settings.
- Experience in special events
- Exceptional communication and interpersonal skills, with the ability to interact effectively with internal teams, external vendors, sponsors, and volunteers.
- Be skilled at a variety of computer skills, e.g., Microsoft Word, Excel, PowerPoint, Adobe Acrobat; knowledge of Canva and Constant Contact a plus
- Ability to work nights and weekends as needed
- Consent to a background check and have a current driver’s license
Working Conditions:
This work is performed onsite primarily in an office environment while sitting at a computer/desk for extended periods of time. Will also involve periodic lifting and carrying of items that may weigh up to 30 lbs. May work outside normal working hours and drive own vehicle for various projects. Must be available to work event dates.
