Development Coordinator

CECO is seeking a dynamic and mission-driven Development Coordinator to join our team. This position is a vital member of the Development team, working closely with and under the direction of the Director of Development to advance CECO’s fundraising strategy, strengthen community relationships, and elevate the donor experience. The Development Coordinator takes the lead on CECO’s signature fundraising events, manages the silent auction program, supports sponsorship and donor outreach, and plays an active role in building community awareness and connections that fuel CECO’s mission.

KEY RESPONSIBILITIES

Signature Event Planning & Management

Lead end-to-end planning, coordination, and execution of CECO’s two signature fundraising events: the Night of Dreams Gala and the Raymond Golf Classic.

Manage all event logistics including venue coordination, vendor contracts, catering, entertainment, décor, rentals, run-of-show timelines, and day-of operations.

Develop, monitor, and reconcile event budgets in close collaboration with the Director of Development.

Serve as the primary point of contact for vendors, venues, and event partners, maintaining professional and responsive relationships throughout the planning cycle.

Recruit, coordinate, and manage event volunteers and support staff to ensure seamless guest experiences.

Partner with the Marketing Coordinator to develop event promotional strategies, digital and print materials, and social media campaigns.

Ensure all events authentically reflect CECO’s brand, mission, and commitment to an exceptional donor experience.


Silent Auction & In-Kind Procurement

Oversee all aspects of the silent auction program, from item solicitation and procurement through packaging, display, bidding, and checkout.

Cultivate relationships with local businesses, restaurants, retailers, and community partners to secure in-kind donations for auctions, raffles, and event needs.

Maintain organized records of all in-kind donations, donor acknowledgments, and auction inventory.


Community Awareness & Relationship Building

Represent CECO at community events, networking opportunities, and outreach initiatives to raise awareness of CECO’s mission and programs.

Identify and cultivate new community partnerships that expand CECO’s visibility and supporter base.

Support grassroots engagement efforts that connect prospective donors and volunteers to CECO’s work.

Assist in the development and execution of outreach materials and campaigns that communicate CECO’s impact.


Fundraising & Donor Support

Support the Director of Development in implementing year-round fundraising campaigns, donor stewardship activities, and engagement strategies.

Assist with sponsorship solicitation and relationship management, including preparing proposals and follow-up communications.

Manage donor segmentation lists to facilitate targeted, personalized outreach and communications.

Prepare donor acknowledgment letters, impact reports, and fundraising materials as directed.


Database & Administrative Operations

Maintain accurate and up-to-date records for donors, sponsors, event participants, and volunteers within CECO’s CRM/database system.

Generate reports and data pulls to support campaign tracking, event planning, and donor analysis.

Provide general administrative support to the Development department and assist with special projects as needed.


QUALIFICATIONS

Required

Bachelor’s degree in nonprofit management, communications, marketing, public relations, or a related field.

Minimum 2 years of experience in fundraising, event planning, nonprofit development, or community relations.

Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and projects simultaneously.

Outstanding written and verbal communication skills; comfortable engaging with donors, sponsors, vendors, and community members in a professional and warm manner.

Self-motivated and able to work both independently and collaboratively as part of a small, mission-focused team.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and Canva.

Ability to work occasional evenings and weekends for events and donor activities.

Valid Florida driver’s license and reliable transportation.

Ability to occasionally lift and carry items up to 30 lbs. in event setup and breakdown contexts.

Must consent to and pass a background check.


Preferred

Experience with CRM/donor database platforms (e.g., Bloomerang)

Familiarity with silent auction software or platforms (e.g., One Cause)

Experience working in a disability services, healthcare, or human services nonprofit environment.

Demonstrated success in sponsorship solicitation or corporate partnership development.

A sense of humor and genuine enthusiasm for connecting people to mission — always a plus.
